Problem

How do I make dictation through Lexacom 3?

Resolution

1 - Enter Dictation Details

Each dictation has a set of details that help the transcribers process the dictation. Whilst the way that each site uses these details will be slightly different, these are:

 

Reference

Details of the patient or client that the dictation references; at medical sites the patient’s details may be imported from the Clinical System by pressing Import icon

Recipient

Details of the recipient of the letter, such as department

Seen On

The date that the client or patient was seen, if applicable; defaults to the current date

Priority

The importance of the dictation, which affects the timescale in which the transcribers should type the dictation

Letter Type

The style of letter

Speciality

A speciality for the dictation

Service

The individual, pool or third-party service that will type the dictation once sent

These lists are maintained by your Lexacom Administrator

 

 

2 - Record the Dictation

Once you have entered the dictation details you can begin recording. If you are using a hand-held professional microphone, such as an Olympus DirectRec, Philips SpeechMike or Grundig Digita mic, you will be able to control the recording using the handset buttons for quicker dictation.

To begin recording

Press Record

(on-screen)

Press (or hold) the Record button on the handset

Slide the switch up to the Record position

To pause recording

Press Stop

(on-screen)

Press (or release) the Record button on the handset again

Slide the switch down to the Stop position

To rewind / fastforward through the recording

Press Rewind or Forward

(on-screen)

Press the Rewind or FastForward buttons

Slide the switch down to the Rewind position

To play the recording

Press Play

(on-screen)

Press (or hold) the Play button on the handset

Slid the switch down to the Play position

3- Amend the recording

If you wish to amend the dictation, the colour of the recording bar will determine what will happen when you begin recording again:

  • If you are at the end of the recording, all recording will be added to the end of the dictation
  • If the recording bar is RED, when you begin recording the dictation will be erased from this point to the end, and the new dictation added; automatically this will apply in the last 10 seconds of the dictation
  • If the recording bar is GREEN, when you begin recording the new recording will be inserted at the current point; automatically this will apply for all dictation further than 10 seconds from the end of the dictation

 

4 - Send The Dictation

Once the dictation is complete, it can be sent to the service that you have specified.

Press and hold the EOL or NEW button on the handset

To hold the recording (without sending)
